Privacy Policy

This Privacy Policy explains what personal data Let's Go Bear collects, how we use it, who we share it with, and the choices you have. It's incorporated by reference into our Terms of Service.


1. Who we are

Let's Go Bear Limited, registered in England and Wales, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, is the data controller for the personal data described in this policy.

2. Data we collect

Account data: email address, and however you authenticate (Google account info, or nothing further for magic link).

Pet data: name, species, date of birth, sex, neutering status, breed, microchip number and implant date, rabies vaccination details, and related compliance dates you enter.

Trip data: travel dates, destination, journey type, and the compliance answers you provide (AHC status, tapeworm treatment dates, and similar).

Documents: any files you upload — AHC, rabies certificate, microchip certificate, or similar — stored securely against your account only.

Consent records: the date you agreed to our Terms of Service and Privacy Policy, and which version.

Communications: if you contact us (for example, by emailing hello@letsgobear.com), we keep a record of that correspondence.

Usage data: basic page-view analytics collected automatically when you visit the site or app, via Vercel Analytics.

Payment data (once payment features launch): handled directly by Stripe. We store a Stripe-generated customer reference so we can link your account to your subscription — we never see or store your card details ourselves.

3. How we use your data

  • To provide the compliance guidance and trip-planning features you use the app for
  • To let you save and return to your trips and pet profiles
  • To process payment for paid features, once available
  • To respond if you contact us for support
  • To understand overall usage of the app, via aggregated analytics — we don't use this to build individual profiles of you beyond what's needed to run the service
  • To meet our own legal obligations, if ever required

Marketing: if you save a trip or create an account, we may email you things related to that trip or account — reminders, upcoming deadlines, confirmations, and similar service-related messages, as these features become available. These aren't marketing, and when sent, you'll receive them regardless of any marketing preference below, because they're necessary to the service you've signed up for.

Separately, we may send you marketing communications — such as news about new features or products — only if you've actively opted in. You can opt in or out of this at any time, and it never affects the service-related emails above.

We do not use your data for advertising, and we do not sell it.

4. Who we share data with

We share data only with the following, and only as needed to run the service:

  • Supabase — our database, authentication, and file storage provider. Your data is hosted in Supabase's West EU (London) region.
  • Vercel — hosts the app itself, and provides basic page-view analytics (Vercel Analytics).
  • Stripe (once payment launches) — processes your payment. Stripe holds your card details directly; we never do.
  • Google — if you choose to sign in with Google, Google processes your authentication under its own privacy terms.
  • Resend — used to send internal notifications.

We do not share your data with anyone else, and we do not sell it to third parties, in any sense of that word.

If Let's Go Bear is ever acquired or merges with another company, your data may transfer as part of that transaction — but only under terms that protect it at least as strongly as this policy does, and we'll tell you if that happens.

5. How long we keep your data

We keep your account, pet, and trip data for as long as your account exists.

If you delete your account, everything is permanently and completely removed — your pet profiles, trips, uploaded documents, and account itself. This isn't a soft delete or an anonymisation; the data is actually gone, and this cannot be undone.

We don't retain any data after deletion for fraud prevention, abuse monitoring, or similar purposes — if that ever changes, this section will be updated to say so explicitly before it happens, not after.

6. Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your data (self-serve via Account Settings, or contact us)
  • Export your data (currently handled manually — contact hello@letsgobear.com and we'll provide it)
  • Object to or restrict certain processing
  • Withdraw consent at any time, where we rely on consent as our legal basis

7. International transfers

Where your data is processed depends on the provider:

  • Supabase (your account, pet, trip, and document data) is hosted in the UK/EU — specifically Supabase's West EU (London) region.
  • Vercel (which serves the app itself, and provides basic page-view analytics) primarily processes data in the United States. Where this involves a transfer of UK or EU personal data, it's covered by Standard Contractual Clauses and the UK International Data Transfer Addendum, as set out in Vercel's Data Processing Addendum. Vercel Analytics data is cookieless and doesn't use persistent identifiers — it doesn't track you individually — but it is processed under this same arrangement.
  • Stripe (once payment features launch) and Google (if you sign in with Google) each rely on their own compliance mechanisms for any international transfer of your data.

8. Children

Let's Go Bear is not intended for anyone under 18, and we do not knowingly collect data from children. See our Terms of Service for our age policy.

9. Changes to this policy

If we make a material change to this policy, we'll ask you to review and accept the update before you continue using the app — the same way we handle changes to our Terms of Service.
